Position Summary

The CX Associate plays a critical role in delivering an outstanding client experience from the moment a project request is received. This position is responsible for high-volume scheduling, inbound and outbound communication, work order creation, and ensuring all project information is complete and accurate.

The CX Associate will work closely with the CX Manager, Business Development team, and field technicians to keep projects moving efficiently and ensure every client receives timely, professional service.

What You’ll Do

  • Respond quickly to assessment requests through phone, text, and email
  • Handle a high volume of inbound and outbound calls while providing exceptional customer service
  • Schedule projects efficiently and coordinate technician assignments
  • Create accurate work orders with detailed notes for technicians
  • Manage and respond to a shared scheduling inbox while maintaining response-time expectations
  • Collect and verify all required project and billing information, including:
    • Payment and credit card information
    • Work authorizations
    • Destructive sampling waivers
    • Insurance claim information
  • Prepare and send client documents through DocuSign
  • Collaborate with Business Development Executives to confirm project scope and pricing
  • Assist with incoming project requests and provide pricing information when needed
  • Monitor and manage field technician schedules to maximize efficiency
  • Support technicians with scheduling issues or changes that arise in the field
  • Confirm coverage for high-risk insurance claims
  • Follow up daily on pending projects to ensure nothing falls through the cracks
  • Run and review reports to ensure all work orders are complete and accurate

What We’re Looking For

  • 2–3 years of experience in the restoration or environmental industry, preferably in a scheduling or coordination role
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment
  • Excellent communication skills with confidence in speaking with clients, technicians, and internal teams
  • Ability to make sound decisions and problem-solve quickly
  • Proficiency in Microsoft Office and QuickBooks
  • Typing speed of at least 40 words per minute
  • Fluent in English, both written and spoken
  • Spanish-speaking skills are preferred, but not required

Schedule & Availability

This position requires participation in an on-call rotation, which may include:

  • Evenings
  • Weekends
  • Holidays
  • Emergency response situations
